Common Questions
Find quick answers to the most common questions about our courses and platform.
Can we use our existing fax number?
How do we receive faxes if there's no machine?
Faxes deliver to email as PDF attachments and/or web portal depending on configuration. Email delivery works like receiving any other email. Portal delivery works like accessing any web application. No physical paper unless you choose to print received PDFs.
Is this actually HIPAA compliant for medical records?
Yes. Encrypted transmission, encrypted storage, access controls, audit logs, and available Business Associate Agreement meet HIPAA requirements for electronic transmission of protected health information. More compliant than physical fax machines with shared trays.
What happens if recipient's fax line is busy?
System retries automatically. Most configurations retry 3-5 times over 30-60 minutes. If all attempts fail, you receive failure notification and can retry manually or call recipient. Eliminates manual retry burden while still eventually reaching busy recipients.
Can multiple people send and receive faxes?
Yes. Configure multiple email addresses for fax-to-email. Create multiple portal user accounts with different access levels. Route incoming faxes to different destinations based on sender or DID. Supports team collaboration without sharing credentials.
Yes with consent. We track consent, handle opt-outs, enforce TCPA compliance.
Do recipients know we're using virtual faxing?
No. From recipient perspective, fax arrives like any other fax. Their caller ID shows your fax number. Received document looks identical to machine-sent fax. Virtual faxing is implementation detail they never see.
How quickly are faxes sent and received?
Nearly identical to traditional faxing. Transmission time depends on page count and resolution, typically 15-30 seconds per page. Received faxes deliver to email/portal within 1-2 minutes of transmission completion. Faster than walking to machine to check tray.
